As a growing business Circle IT wanted to replace its previous on-premises Skype for Business telephony solution with a more sophisticated cloud-based platform suitable for Contact Centre and back-office staff, without any downtime in the switchover.

Challenge

Circle IT was previously running Skype for Business on-premises. They wanted to remove onsite servers and move to the cloud, reducing their large overheads and eliminating the hassle of running and managing the system themselves. Circle IT also lacked many telephony features and contact centre functionalities needed for their growing business.

Solution

Circle IT wanted to continue using Skype for Business for their unified communications platform. Moving to VIA UC with Skype for Business in the cloud was a perfect solution for Circle IT. It provided many more features than going to Microsoft directly, with less internal management, lower overheads and much more freedom.

With VIA UC, which incorporates Skype for Business, there is no on-premises bulky equipment or hefty start-up costs. Better still, it enables people to work flexibly and collaboratively anywhere in the world on any compatible device. VIA's Cloud-Hosted platform was implemented at Circle IT without costly start-up costs or infrastructure changes that an on-premises solution would have entailed.

All users have ‘dial in and out conferencing’ and Direct Dial In (DDI) numbers, whilst VIA’s advanced call routing application ensures callers are always directed to the most suitable department.

VIA UC comes complete with a unique portal that allows real-time management, which lets Circle IT observe trends, add users to the system, evaluate the usage and productivity of its employees, plus monitor costs.

Previously, Circle IT was using a third-party product for Skype for Business reporting that was unreliable and did not provide them with the reports and analytics they required. Now, with the added powerful feature of advanced reporting and through Power Bi integration they can create live reports and glean data from numerous dashboards.

Previously Circle IT lacked contact centre functionality and telephony features needed for a growing business. With a record turnover in 2018, Circle IT’s objective was to implement a more sophisticated call routing and contact centre platform that would help them achieve their 2019 growth targets. A key part of the project to meet these objectives was the implementation of VIA Contact Centre which gave Circle IT the most advanced Skype for Business contact solution available with perfect comms integration with their back-office staff.

Circle IT currently have 85 users who have adopted VIA UC and 30 who have use VIA Contact Centre, including several upgraded meeting rooms. VIA has implemented Polycom Realpresence Trios with Eagle Eye Mini cameras which have transformed Circle IT's meeting rooms into collaborative spaces, allowing them to make more effective use of Skype for Business, through both audio and video conferencing.
